# Offer perks to your volunteers

> Thank your volunteers with a t-shirt, a meal or a drink, with no condition or from a set volunteering time, and know how many to order.

A t-shirt after 4 hours of volunteering, a hot drink every day worked, a thank-you meal at 10 hours: **perks** are what your volunteers receive in return for their commitment. You set them on each event, and Benevolus works out who is entitled to them and how many to order.

> [!NOTE]
>
> You must be a **Coordinator** or a **Responsible** of the organisation, and your organisation must have the **Perks** module (see [Plans and pricing](https://docs.benevolus.ch/en/plans-and-pricing.md#add-on-modules)). Without the module, the **Perks** tab presents the feature but does not let you create any.

## Create a perk

**1. Open the Perks tab**

Open the event, then the **Perks** tab, and click **Create a perk**.

**2. Name it and say where to pick it up**

Type the **Perk name**, for example "Festival t-shirt". In **Description and pickup location**, say where and when to collect it: it is the most asked question on the day.

**3. Set the condition**

Choose the **Time basis** and the **Time threshold** (see below). A threshold of 0 h gives the perk to everyone with a shift, with no condition. Below the threshold, the form tells you when it will become available.

**4. Set the scope, units and audience**

* **Scope**: **Once for the event**, or **Every day worked** for a meal or a drink each day.
* **Units**: how many each volunteer receives, for example two drinks a day.
* **Audience**: **All volunteers**, **One post** or **One team**.

Click **Create**.

## Time basis and threshold

The threshold counts all of the volunteer's hours on the event, whatever the post. The time basis says which ones:

| Time basis | What counts | Example |
| - | - | - |
| **Booked time** | Whole time slots, as soon as the volunteer signs up | A t-shirt to wear from the first day |
| **Worked time** (default) | Time slots as they take place, without checking attendance | A closing pin at 6 h |
| **Checked-in time** | Time slots where the volunteer is checked in as present | A meal for those who actually came |

**Checked-in time** requires the **Attendance management** module. A post responsible also counts the time they lead their post. With worked or checked-in time and a threshold, the volunteer is notified as soon as they reach it.

The audience chooses **who** is entitled, not what counts: a volunteer who did 6 h, 2 h of them at the bar, counts 6 h for a perk reserved for the bar.

## Know how many to order

Each card shows a forecast, for example "5 volunteers will reach the threshold, i.e. 5 units". It is based on booked time slots, day by day for a perk given every day worked. It follows sign-ups: check it just before you place your order.

## Pickup deadline

Without a date, a perk can be picked up until 48 hours after the end of the event. For a thank-you meal the following week, choose a date in **Pick up by**. A perk given every day worked is always picked up on the day itself.

## Edit, archive or delete

The actions menu (⋮) of each card offers **Edit**, **Archive** and **Delete**.

* **Delete** is only offered as long as nobody has received it.
* **Archive** withdraws it from volunteers who have not received it yet. Those who received it keep it. **Restore** offers it again.
* If an edit takes the perk away from volunteers who were entitled to it, Benevolus tells you how many before saving. Once handed over, its scope no longer changes: archive it and create a new one.

## What volunteers see

Before signing up, a volunteer sees the perks in the **Schedule** tab, under **What you get**: a reason to take a time slot. Those reserved for a post show on that post. Once signed up, they follow their progress in **My space**. See [Receive your perks](https://docs.benevolus.ch/en/receive-your-perks.md).
